Scope of this policy

▾

This policy covers personal information handled when you:

  • visit or read eresinstitute.org and its sub-pages;
  • write to the Institute by email or submit a contact, collaboration, or inquiry form;
  • subscribe to updates or a newsletter, where offered;
  • engage with ERES-owned content on professional platforms such as LinkedIn, GitHub, Zenodo, Google Scholar, or ORCID.

It does not cover third-party websites we link to, which operate under their own policies. See Third-party links & tools.

03

Information we collect

▾

We collect only what is necessary to operate a small research institute and its public communications.

3.1 Information you give us directly.

  • Contact & inquiry forms: your name, email address, message content, and any optional affiliation you include.
  • Email correspondence: whatever you choose to include when you write to us.
  • Updates / newsletter: email address and optional name.
  • Collaboration, research, funding, or role inquiries: your name, email, and any materials you choose to send (for example a CV, paper, or organization profile).

3.2 Information collected automatically.

  • Server logs: IP address, browser type and version, referring page, pages viewed, and date/time — kept for a short period for security and debugging.
  • Cookies: only what is essential for the site to function. We do not set third-party advertising or cross-site tracking cookies.
  • Analytics: aggregate page-view statistics using privacy-respecting measurement only. No individual profiling, no cross-site tracking.

3.3 Information from professional platforms. When you interact with ERES content on LinkedIn and similar platforms (follows, likes, comments, shares), those platforms provide the Institute with aggregate engagement statistics through their own developer APIs. We do not receive member email addresses, phone numbers, or other directly identifying details beyond what the platform already displays publicly.

Identity without surveillance
The Institute's own research (for example IDIPITIS and NBERS) is built around verifiable identity that does not depend on mass surveillance. We hold ourselves to the same standard: collect the minimum, profile no one, and keep nothing we do not need.
04

How we use your information

▾
  • Responding to your questions, collaboration requests, and form submissions.
  • Sending updates you have asked to receive, and letting you stop at any time.
  • Operating, securing, maintaining, and improving the website.
  • Measuring, in aggregate only, how our own published work performs — never to profile individual readers.
  • Meeting legal obligations, responding to lawful requests, and protecting the Institute's rights and the safety of others.
What we never do
We do not sell, rent, or trade personal information. We do not run behavioral advertising, and we do not share your data with advertisers, data brokers, or analytics aggregators.
05

Legal bases (EU / EEA / UK users)

▾
  • Legitimate interest: running the website, responding to inquiries, and conducting scholarly and professional outreach.
  • Consent: newsletter subscriptions and any non-essential cookies where applicable — withdrawable at any time.
  • Contractual necessity: providing information or fulfilling a collaboration you have requested.
  • Legal obligation: tax, accounting, and record-keeping duties.
06

Cookies, analytics & translation

▾

Essential cookies keep the site working and carry no advertising function. Analytics, if used, are aggregate and privacy-respecting.

Google Translate. Some ERES pages offer an optional in-page translation widget. If you activate it, your request is processed by Google under Google's own privacy terms; the Institute does not receive additional personal data from that interaction. You can read the site in its original language without using it.

07

Sharing of information

▾

We share personal information only in limited circumstances:

  • Service providers (for example hosting or email delivery) bound by contract to confidentiality and data protection, acting only on our instructions.
  • Professional platforms, solely in the form of API calls that publish or measure our own content.
  • Legal and regulatory authorities, only where required by valid legal process.
08

International data transfers

▾

The ERES Institute is based in the United States. If you contact us from the European Economic Area, the United Kingdom, or Switzerland, your information may be transferred to and processed in the United States. Where such transfers occur, we rely on the European Commission's Standard Contractual Clauses (2021/914) or an equivalent lawful mechanism. A copy of the relevant terms is available on request to jas@eresinstitute.org.

09

Data retention

▾
  • Server logs: a short security window (about 90 days).
  • Contact-form and email correspondence: up to 24 months from the last interaction, unless an ongoing collaboration requires longer.
  • Newsletter subscribers: until you unsubscribe, plus a brief audit period.
  • Aggregate platform analytics (owned content): about 12 months.
  • Tax and accounting records: as required by Arkansas and U.S. federal law.

When information is no longer needed, we delete or anonymize it.

10

Your rights & choices

▾

Subject to applicable law, you may ask us to access, correct, delete, or port your personal information; object to or restrict its processing; and withdraw consent at any time. Under the CCPA you also have the right to know what we collect and to request deletion.

We do not sell personal information, so there is nothing to opt out of on that front — but you are welcome to confirm this with us directly.

To exercise any right, write to jas@eresinstitute.org. We aim to respond within 30 days and will not discriminate against you for making a request.

11

Security

▾

We protect personal information with reasonable administrative, technical, and physical safeguards appropriate to a small institute — including encryption of data in transit (TLS), restricted access to accounts and correspondence, and multi-factor authentication on administrative logins. No method of transmission or storage is perfectly secure; if a breach affecting your personal data is confirmed, we will notify affected individuals and relevant authorities as required by law.

12

Children

▾

This website and the ERES Corpus are intended for researchers, students, professionals, institutions, and the general adult public. The site is not directed to children, and we do not knowingly collect personal information from anyone under 16 (or under 13 in the United States). If you believe a child has provided us information, contact us and we will delete it.

13

Public corpus & attribution

▾

The ERES Corpus is published openly under CCAL v2.1 / CC-BY 4.0. Material you deliberately make public — for example a comment on a published deposit, a public contribution to an ERES repository, or correspondence you ask us to cite — may be quoted or attributed as part of the scholarly record. This is separate from the private contact data described above, which we do not publish. For how the corpus itself may be reused, see the Terms of Use.

14

Changes to this policy

▾

We may update this Privacy Policy from time to time. The "Effective" date at the top will change accordingly, and material changes will be flagged prominently on the site and, where appropriate, by email to subscribers.
